Registration Policy
Our registration policy is as follows:
- Each accepted paper must be presented by one of the authors at the workshop.
- Each accepted paper must be covered by a full (or “Author”) registration rate (i.e., one among: IEEE SPS Member, IEEE Member, Non-Member, Life Member, or Low Income Economy Country) by August 17, 2025. A full/Author registration can cover up to 4 papers.
- If the presenter is registered at a Student rate (which cannot cover papers), another author of the paper must register at an Author rate to cover it.
- If a Student needs to cover one or more papers, their registration rate will be set to the corresponding non-Student rate (i.e., non-member, IEEE member, or SPS member).
Registration Dates
Author registration opened on July 16, 2025 for authors of accepted papers, sponsors, and committee members. It will end on August 17, 2025.
General registration is now open as of August 18 August 20, 2025 for everyone, pending room availability.
The Advanced Rate will be in effect until August 24 August 26, 2025, after which attendees will need to pay the Regular Registration Rate.
Registration Procedure

- The registration website will first ask you to specify your Registration type, and you will be redirected to the IEEE website for membership verification.
- If you need a visa letter, do not forget to check the box at the bottom of page 2, and to indicate your Passport Issuing Country.
- The link to the hotel booking site will be given on the confirmation page once you complete registration to the workshop. You will need to indicate your Workshop Registration Confirmation Number when booking your room on the hotel reservation website. (This is due to the fact that all the indicated hotel rates only include a portion of the cost of all meals and of the use of the facilities, the rest being included in the registration; we thus need to make sure that everyone booking with the hotel is registered.)
Registration Fees
If you are an IEEE or IEEE SPS member or student member, you can take advantage of the membership reduced fee.
If you are not an IEEE or IEEE SPS member or student member, we highly encourage you to become a member of both IEEE and SPS, as the difference in registration cost is larger than the cost of membership, resulting in an overall cheaper cost.

Warning: On the Registration website, you will first be asked to specify a “Registration Type”. Despite the misleading title, you should specify your actual IEEE Membership Status (e.g., if you are a student, pick one of the Student options), regardless of whether you plan to cover a paper or not. Later on, you will be asked whether you want to cover a paper or not, and your registration rate will be determined accordingly.
Please specify the Registration Type according to the table above. If you need to cover papers, do not choose one of the Student rates, but pick the corresponding full rate for your membership status: “Student IEEE SPS Member” → “IEEE SPS Member”, “Student IEEE Member” → “IEEE Member”, “Student Non-Member” → “Non-Member”.
Important note on the registration fees this year: Please note that this year’s registration fees include most food & beverage expenses (breakfast, lunch, dinner, after-dinner receptions, and coffee breaks), with the rest being included in the hotel room rates. Attendees who do not stay at Granlibakken will need to book a “Conference only” rate on the hotel website at a daily charge of $41 to cover the rest of the F&B expenses as well as the use of the hotel facilities. Travel awards: We are pleased to inform the participants that there will again be a large amount of travel grants available to students, young professionals, and underrepresented groups, in the form of registration fee waivers and additional grants. Please find more information on our travel grants page. Important note: if you plan to apply for any form of financial support / travel awards, please hold off on registering and booking your hotel room until after the notification of financial support grants on August 9th, as the result may impact your registration.
Cancellation Fees
Cancellation fees are incurred as follows:
- Cancellations received prior to Wednesday, September 10, 2025 – full refund minus an administration fee of $50 (fifty US Dollars).
- Cancellations received after Wednesday, September 10, 2025 23:59 EST – a cancellation fee of $300 (three hundred US Dollars) will be deducted from the registration fee, and the remainder, if any, will be refunded.
We remind authors that every paper needs to be covered by one full registration. We will thus not allow cancellations on registrations that are covering a paper, if there are no other active full registration covering it.
If you become unable to attend and would like to transfer your registration to a co-author, please contact the General Chairs via general-chairs@waspaa.com as soon as possible.
