Information for Presenters

Virtual Presentation (All Regular Papers)

Due to the virtual component of the workshop, we require all presentations to be available to the virtual attendees via a pre-recorded video. The video will be uploaded to our Slack workspace and shared with all attendees during the workshop. So, all paper authors are asked to prepare for a video recording. The video format is:

  • Duration: 5 minutes (minimum) to 15 minutes (maximum)
  • File size: 300MB max (but please try to make it smaller if possible)
  • Video file format: mp4
  • Dimensions: minimum height 720 pixels, aspect ratio: 16:9
  • Instructions for recording with Zoom or for authors who are unable to access Zoom, you may use the free software OBS, which also allows the simultaneous recording of the speaker and slides: OBS Studio.

We will invite the registered workshop participants to the Slack workspace in the later days (no later than Oct. 15), by when the authors are required to upload the video file to the Slack channel. We will send out another reminder near this date.

Please also note that the presentation video is required regardless of the actual presentation type of the paper at the workshop, i.e., even though your paper is at the poster session, please upload this video to the Slack channel for the virtual attendees.

We remind you that the Slack channels will be used to communicate with the virtual attendees as well as local attendees. If there are any questions on Slack, please try to answer them as early as you can.

Virtual Presentation (Demonstrations)

Oral presentation format (in-person)

If your paper was accepted for oral presentation, please prepare for a talk. Presentation time is critical: each paper is allocated 15 minutes for presentations and 5 minutes for Q&A, plus switching to the next presentation. A PC with Windows OS and a projector will be provided for lecture sessions. Presenters who want to use this PC for their presentation should upload their presentation files to it prior to their sessions. Presenters who want to use their own laptops for their presentation should connect their laptops to a KVM-switch (that will be provided) during the question-answering time of the previous presentation.

Poster presentation format (in-person).

The time for each poster session is 2 hours. The size of a poster board is 40″(W) x60″(H) ( 1.02 m x 1.52 m), so your poster should be smaller than this. The title and author lists of each paper should be indicated on the top of the poster. The presenters are recommended to make the print easy to read from a distance.
